As the department's Document Management Administrator, this position will analyze, plan and oversee activities involving the Bank’s document management systems. In addition, this position will configure, operate, monitor, and build components, templates, dialogs, and workflows using the various document management systems. Furthermore, the position will provide strategic guidance to the Bank’s lines-of-business in the use of document management systems and related technologies. Ideal incumbent will have a technical or operational background in document management systems in a financial or related industry, and have a desire to focus more on the business and operations activities than exclusively the technical activities.


  • Document management system administration, lead projects to migrate data from one system to another, and insure all operational activities are being executed as required.
  • Monitor document systems on a daily basis, making sure all tasks are functioning within required intervals.
  • Provide daily summary reports to management as to the status of document management or migration activities (errors, exceptions, etc).
  • Run regular administrative reports to monitor for results, status, and exceptions, work exceptions, distribute to appropriate recipients.
  • Assist in maintaining documentation of configuration information for all document management systems.
  • Support all document management systems: resolve errors and issues, implement configuration changes, implement process enhancements, and enforce retention policies.
  • Identify opportunities to improve efficiencies in the Bank’s management of customer and enterprise documents and implement identified enhancements.
  • Maintain support & maintenance contract information.
  • Organize and maintain in appropriate spreadsheets or other methods.
  • Work with management and vendors to keep coverage in place.
  • Monitor for renewal dates.
  • Participate in departmental meetings as a contributing member.
  • Work closely with manager to monitor and adjust priorities and work flow.
  • Keep other team members and manager updated with any problems encountered, particularly as they relate to customer service, due dates, or security issues.
  • Demonstrate dependable and consistent attendance.
  • Report writing and execution for department and management.
  • System update installation and/or coordination with Engineering group.
  • Review of existing workflows with departments to verify use and validity, cleanup as needed.
  • Training and professional development.

  • High school diploma or equivalent, required.
  • College or trade school degree in technology, strongly preferred.
  • 3-5 years relevant work experience, required.
  • Technical or operational experience with document management systems in a financial or related industry, required.
  • Moderate familarity of how to develop work flows in a financial company, required.
  • Basic familarity of banking operations, required.
  • Ability to establish content management system guidelines and represent/advocate CMS interests in cross-functional meetings, required.
  • Development experience with financial industry document management systems, preferred.
  • Strong verbal and written communication skills.
  • Strong organizational skills with ability to organize and follow work procedures.
  • Demonstrated problem solving and analytical skills.
  • Strong attention to detail.
  • Demonstrate a high level of knowledge of Bank Secrecy Act and OFAC related responsibilities in the performance of daily operations to ensure adherence to bank policies and compliance with all regulatory requirements.
