Overview

The Facilities Project Coordinator is responsible for coordinating maintenance requests and multiple Facilities related projects in an effective and timely manner within a designated region in the Independent Bank footprint.  The person hired will be part of an on-call rotation schedule and must be willing to work weekends, when necessary. 

Responsibilities

  • Under general supervision, with some latitude for independent judgement, initiative, and limited approval authority, coordinate maintenance requests and projects within a designated region in the Independent Bank footprint.
  • Coordinate and deliver all aspects of facilities maintenance including, but not limited to: lighting repair, janitorial requests, grounds maintenance needs, plumbing repairs, and pest control.
  • Manage maintenance requests through the effective use of the Bank’s facilities work order management system.
  • Coordinate and deliver various projects including, but not limited to: remodels, building improvements, furniture additions and replacements, staff moves, punch items from large scale projects, disaster recovery, upgrades/replacement of building systems, and opening/closing of bank locations.
  • Develop project objectives, scopes of work, and timelines in consultation with internal customers, vendors, and the Director of Facilities.
  • Effectively identify and coordinate resources necessary to meet project requirements.
  • Regularly travel to bank locations within designated region to inspect, coordinate, plan and review required work.
  • Work with vendors to ensure approved work is performed according to industry best practices.
  • Communicate coordinated maintenance and project efforts daily with customers and vendors to ensure tasks are moving forward. Collaborate with various individuals and/or cross-functional teams within the bank footprint. 
  • Develop, maintain, and present project plans and reports to the Director of Facilities. Manage and track projects on a daily basis to ensure accuracy and timely completion.  Report progress to Director of Facilities on a weekly, monthly, and as needed basis.
  • Provide support to the annual budgeting process which includes forecasting building improvements and building systems upgrades.
  • Assist in developing long term building improvement plans for multiple bank locations.
  • Receive and review vendor invoices for accuracy, ensure proper cost center coding, and submit to Accounts Payable in a timely manner.
  • Perform other job related duties as assigned.

Qualifications

  • High school graduate or equivalent education (GED) required.
  • Bachelor degree preferred - relevant experience may be substituted for degree.
  • 1-2 years previous facilities project coordination required.
  • Must be a self starter, be dependable, and have reliable attendance
  • Excellent interpersonal, organizational, communication and time management skills
  • Attention to detail
  • Must possess professional demeanor.
  • Ability to prioritize multiple projects at any given time
  • Ability to adapt to a changing work environment.
  • Computer proficiency with knowledge of Microsoft Office Suite applications, required
  • Valid Texas driver’s license
  • Demonstrate a high level of knowledge of Bank Secrecy Act and OFAC related responsibilities in the performance of daily operations to ensure adherence to bank policies and compliance with all regulatory requirements.
